    Job description – Head of Service Operations

    This is an exciting opportunity for a committed, pro-active and self-motivated leader to join our growing business within our leadership team. You will have a proven track record in managing professional and effective teams providing business process and/or technology services to B2B clients within financial services, ideally pan European. You will also have experience of onboarding and implementations for clients.

    We are a growing business that is scaling in the range of services we provide and geographically. The role is for someone that can stamp their mark by bringing their experience, ability to drive change and a strategic perspective to build upon the foundations that exist. Your passion for service to clients and leadership style should inspire, set direction for, and steer our team leaders and client facing teams. Through coaching you will identify our talented individuals and provide the support they need to grow and reach their full potential.

    You will strive to raise standards with processes, controls and client engagement to best in class, whilst working closely with our Technology team to identify and drive ongoing innovation and improvements for the solutions we supply.

    Key duties and responsibilities

    • The management of two team leaders and currently some 15-20 client facing staff covering:
      • Data Services team servicing our Data Solutions clients and;
      • Client Services team that mainly supports our Digital and Regulatory Solutions clients. This includes managing client implementation and onboarding.

    Specifically:

    • Creation and delivery of a Services strategy including clear KPIs
    • Ensuring our client-facing teams successfully deliver the agreed service levels
    • Monitoring and managing client satisfaction, queries and projects to completion
    • Flawless execution of on-boarding and client projects
    • Ensuring best practice policies, processes & controls and methodologies are implemented in a manner they can be scaled with volume and geographic expansion
    • Ensuring the team deliver excellent communication and reporting to our clients and partners
    • Motivating, leading, coaching, training and supporting the team to deliver the strategy and continuously improve individually and collectively
    • Driving for growth ensuring that all team members have stretching personal objectives, development plans and regular performance reviews to embed a high performance culture
    • Deploy effective risk management and security controls

    Your knowledge, skills and experience should include:

    • Minimum five year track record in managing professional and effective teams in multi locations providing business process and/or technology services to B2B clients
    • Financial services experience (preferably fund management or related service provider)
    • Significant first-hand experience of having managed projects and on boarding of clients
    • Ability to display a resilient and adaptable style, embracing change and remaining calm under pressure and robust in demanding circumstances, particularly with clients
    • Commercial and political acumen, ability to comfortably engage with clients at the C-Level
    • Experienced in interfacing across both technical and non-technical teams and individuals
    • Excellent attention to detail and a meticulous eye for identifying inconsistencies and inaccuracies
    • Excellent people skills and management style with the ability to motivate and inspire
    • Clear communication and presentation skills
    • Proven ability to put the client first
    • Degree or professional qualifications or time with a professional services firm, an advantage

    You will take ownership of a range of activities including keeping our website up-to-date, ensuring our content is accurate, managing the ongoing development of our social media channels and, supporting on our internal communications programme.     • Taking ownership for keeping fundslibrary.com up-to-date through our CMS system, and contributing to our SEO development activities.

    • Manage social media presence, consistently driving leads and traffic to the website.
    • Production and presentation of regular data analysis with regards to website and social media interactions.
    • Support Marketing Manager with the identification and production of content opportunities.
    • Supporting on a wide range of internal communications, including ownership of the company intranet site, event organisation and our communication programme.
    • Assist with the successful delivery of our external event programme.
    • Take ownership for the quality of external facing materials, with an ongoing focus on innovation and refinement of content.
    • Prepare and distribute sales support materials, including presentation packs.
    • Ensure all regular marketing tasks are completed including the monitoring of website and marketing mailboxes.
    • Drive your own development in conjunction with your Manager and undertake relevant training to build your subject expertise.

    Job description – Data Services Manager

    As a key member of the Data Management team, you’ll be working in the central hub of our business, managing the daily data collection and distribution. Data Services Managers maintain key relationships with our Asset Manager clients to ensure the regular delivery of fund information to our database and are responsible for ensuring each group’s data is correctly uploaded onto the database. This role will offer you the opportunity to develop your skills and knowledge of the data systems and technologies that provide the backbone for the company.

    Key duties and responsibilities

    • Liaise with clients and other companies over the telephone and in writing
    • Represent the company in a professional and knowledgeable manner when dealing with clients and enquiries
    • Ensure static data, monthly yield figures, portfolio data and all relevant documents are updated each month for the relevant attributed fund group
    • Perform validation techniques to ensure accuracy of data
    • Assist other internal divisions with data requirements
    • Work with the team to ensure all documentation is up to date.

    What we are looking for

    Essential:

    • A levels (Grade C and above)
    • Microsoft Office literate
    • Office based work experience
    • Excellent attention to detail
    • Excellent organisational skills
    • Intermediate or above in Excel
    • Ability to manage relationships with both internal and external stakeholders

    Desirable:

    • Languages (Spanish, French, German, Italian)
    • University degree 2:1 or above
    • Business, Economics, IT or Maths Degree would be advantageous
